Stocking Hall Space Use Policy

Food Science, Stocking Hall Space Reservation

Funded by the State University of New York Construction Fund for Cornell University College of Agriculture and Life Sciences, the new Stocking Hall facility features modern classrooms and teaching laboratories, state-of-the-art research laboratories, a glass-fronted dairy plant, a teaching winery and “wine library,” a center for study of the sensory properties of foods, and a conference center. From an observational balcony above the Dairy Plant, visitors have a bird’s-eye view of milk from the Cornell dairy farm as it is transformed into ice cream, pasteurized milk, pudding and yogurt for sale to the Cornell community. This policy applies to the use of meeting rooms and public spaces.

Although research laboratories and offices constitute the majority of space in Stocking Hall, there are a variety of areas, including a conference center, tiered lecture hall, several conference rooms and classrooms. Also available are the and the Gallery and Commons public space on the main floor fronting Tower Road. Primary use of the facility will generally be by Department of Food Science and the Graduate Field of Food Science and Technology. However, these spaces will also be made available to other entities including other Cornell departments or units and external affiliated groups, subject to four conditions:

  • Use of those facilities will not disturb or otherwise inhibit Department of Food Science activities
  • The entity follows all appropriate University policies as well as those contained in this document
  • The entity using the spaces will take proper care of the facilities and take full responsibility for any damages that may occur; and
  • The entity agrees to the space use fees described in this policy, which are intended to recover costs associated with maintenance and replacement of furniture, fixtures and equipment within these spaces.

Responsibilities

  • Confirm that the requested space is available (email mks16 [at] cornell.edu (mks16[at]cornell[dot]edu))
  • Reserve that space for you with the receipt of your reservation form
  • Arrange access to the building and the reserved space for your meeting or event
  • Submit a facilities ticket to move or arrange furniture, at your cost, according to a diagram provided by you

 

  • Arrange/move furniture and return to the original setup
    • What may be moved: 1) Conference Center tables and chairs 2) the round and square white tables and grey and red chairs on the Commons area
    • What may not be moved: Upholstered furniture in the Gallery area (couches, chairs, benches, coffee tables).
    • With the exception of the Conference Center, no existing furniture may be moved without prior approval from the Stocking Hall Administrative Coordinator, and any furniture moves made without permission will incur an additional charge.
    • Furniture placement for events is the responsibility of the event coordinator. The flexible furniture pieces (tables and chairs) in the Conference Center (146) allows for the event coordinator (and their staff) to move tables and chairs around to their desired configuration (30- 5 ‘ by 24” rolling task tables and 195 upholstered padded arm conference chairs)
    • If you do not wish move furniture yourself you have the following choices. 1) submit a diagram for your desired set up or 2) submit a diagram of what furniture you want removed for rental furniture placement; and we will make those arrangements at your expense.
    • Any user-provided rental furniture or other items must be removed, surfaces cleared, and the original furniture arrangement and connections restored by the user by the end of the reservation period so the space(s) will be immediately available for the next user(s).
  • Arrange and meet caterers and/or service providers
    • The Cornell Dairy is located in Stocking Hall and produces dairy products for distribution across campus. Therefore, if your menu contains products that are produced by the Dairy (milk, ice cream, yogurt, cheese) we ask that you work with your caterer to make sure Cornell Dairy products are used. To order the products you need, send an email to CornellDairy [at] cornell.edu (CornellDairy[at]cornell[dot]edu).
    • Only professional caterers and equipment rental companies, pre-approved by Cornell University, may be used. The university’s requirements for hiring and paying a caterer can be found at the following link: http://www.dfa.cornell.edu/procurement/supplierlist/catering/hiring.cfm. This website includes links to the Caterer Contract and Risk Management’s list of approved caterers.
    • All arrangements with caterers are the responsibility of the event coordinator.
  • Provides signage for event
  • Provides all supplies and food for event (plates, flatware, napkins, cups, coffee, markers, etc.)
  • Any damage to Stocking Hall, the equipment or landscaping must be reporting to Stocking Hall Administrative Coordinator no later than the following business day. The renter is responsible for the repair and/or replacement cost associated with such damage.
  • The renter is responsible for their group, service providers, and guests being aware of and following University policies regarding parking including drop-off and pick-up for setup, the event, and clean-up.
  • All special parking arrangements must be made by contacting Cornell Transportation Services at 607-255-4600.
